Only 142 days 'til Annual Conference
Is it possible? With Christmas lights still warm from the tree and the ink barely dry on charge conference forms, could it be time already to prepare for Annual Conference 2003?
You bet it is. With June 8-11 looming on the calendar, Holston leaders began setting dates and crunching numbers long before the Advent wreaths came out of storage. Here's a look at deadlines for Holston's annual gathering of clergy and lay representatives in Lake Junaluska, N.C.
Housing information
An information packet will be mailed to clergy, lay members and lay members-at-large from the Knoxville Conference Office on Feb. 14. The Housing Request card must be completed and returned to the reservations office at Lake Junaluska postmarked no later than March 14.
Lay nominees for General and Jurisdictional Conferences
Nominees must be submitted to the District Board of Laity by March 15. The District Board of Laity must submit all candidates to the Conference Board of Laity by March 31. The final list of nominees, along with biographical information, must be received no later than April 7 by: The Conference Secretary, P.O. Box 32939, Knoxville, TN 37930-2939.
- Election Procedures, Standing Rule 37, page 297 of the "Conference Journal 2002":
". . . persons may be nominated by local churches, District Boards of Laity or the Annual Conference Board of the Laity on a form to be developed by the conference Board of Laity ... Names of all nominees from local churches shall be in the hands of the District Board of Laity by March 15th ... The District Board of Laity shall review the nominations and determine their eligibility. The Board may add names of persons it deems to be candidates and shall deliver the list to the Conference Board of Laity by March 31st. The Conference Board of Laity shall complete the lists, add any persons it deems to be candidates and provide the list, along with biographical information, to the Conference Secretary for printing and distribution with the program and reports to all members of the Annual Conference."
Reports
Deadline is April 7 for all documents to be printed in the "Book of Reports." Reports are to be mailed or e-mailed by April 7 to: Coordinator of Annual Conference, P.O. Box 32939, Knoxville, TN 37930-2939, or raymonwhite@holston.org.
Reports not received by the deadline will not be printed in the "Book of Reports" and will require Annual Conference approval to present or distribute in as much as they did not meet the requirements as set forth in the Standing Rules.
Petitions
Deadline for submission of petitions is April 7. Mail petitions to: Dr. James R. Green, Holston Conference Office, P.O. Box 32939, Knoxville, TN 37930-2939.
Petitions should be typed, doublespaced, if possible. All petitions should include not only the name of the originating body, organization, church, and/or individual, but also the name, address, and phone number of a person who could clarify any issue which may arise as the petition is examined by the Petitions Committee.

"Each petition must address only one issue if the Discipline is not affected; if the Discipline is affected, each petition must address only one paragraph of the Discipline, except that, if two or more paragraphs in the Discipline are so closely related that a change in one affects the others, the petition may call for the amendment of those paragraphs also to make them consistent with one another."
Groups and individuals who wish to submit petitions are also encouraged to read standing rule 22, page 295 in the "Conference Journal 2002" of the Holston Annual Conference.
Special meals
Reservations for special meals must be requested by mail or e-mail by April 7 to: Coordinator of Annual Conference, P.O. Box 32939, Knoxville, TN 37930-2939, or raymonwhite@holston.org.
Upon receipt, a form will be mailed requesting the specifics of the meal including the number of persons involved with each special meal. The deadline for receipt of the reservation form is May 26.
Audiovisual requests
All audiovisual presentation needs must be communicated to Donna Hankins no later than May 1. This includes hymn selections, video, audio, and PowerPoint needs. Exhibits & displays
A tent will be provided for exhibits, displays, etc. at no charge and will be located between the Chapel and Stewart Auditorium. E-mail or phone requests to Anne Travis by May 15 at (865) 690-4080 or AnneTravis@holston.org.
Note that space is limited and will be granted on a first-come, first-served basis.
Space for meetings and activities
Reservations for meeting and/or activity space in addition to those that are part of the conference schedule must be requested by May 23. Requests may be mailed or e-mailed to: Coordinator of Annual Conference, P.O. Box 32939, Knoxville, TN 37930-2939, or raymonwhite@holston.org.
Registration
A completed Registration Card will be mailed with the "Book of Reports." The information on the card should be updated/corrected and the card presented at the Annual Conference registration desk, Harrell Center Auditorium beginning at 2 p.m. on Sunday, June 8.
Child care
Child care will be available during all sessions of the Annual Conference without cost to participants.
